I.Overview

The practice, in brief.

Notarial work is straightforward in many cases and exacting in others. The form of a notarization, the wording of an affidavit, and the chain of authentication for a document used abroad each determine whether the recipient accepts the document on the first presentation.

VanWest Law offers notarial services as a routine part of the practice. Standard notarizations are accommodated promptly by appointment in Markham. More complex matters — affidavits with specific statutory wording, multi-party executions, and documents requiring Global Affairs Canada authentication or consular legalization — are handled with attention to the recipient's requirements.

II.What's included

The work, in detail.

01

Notarization & commissioning

Notarial certificates, statutory declarations, affidavits, and commissioning of oaths. Standard ID verification, careful signing, and clear records.

02

Certified true copies

Certified true copies of original documents — passports, degrees, financial statements, corporate records — formatted for the receiving authority's requirements.

03

Authentications & apostilles

We coordinate the chain of authentication for documents going abroad, including Global Affairs Canada authentication and consular legalization where required.

04

Real estate & power-of-attorney signings

Property powers of attorney, lender signings, and out-of-province real estate documents. We coordinate with the requesting solicitor or institution to make sure the execution lands cleanly.

05

Statutory declarations & affidavits

Drafting and execution of statutory declarations and affidavits where the wording matters — immigration, estate, regulatory, and litigation contexts.

06

Estate & probate documents

Executor affidavits, declarations of identity, and supporting affidavits for probate applications, in coordination with your estate counsel.

III.Who it's for

The right fit.

The firm accepts engagements where it can deliver the highest standard of work. Matters outside this scope are referred or supported through trusted external counsel.

  • Individuals needing a document notarized for use in Canada or abroad.
  • Corporate clients executing authorizations, resolutions, or director affidavits.
  • Out-of-province lawyers needing local execution of an affidavit or power of attorney.
  • Clients preparing documents for foreign embassies, consulates, or government bodies.
  • Anyone needing a certified true copy of an original document.
IV.How we work

From first call to final invoice.

01

Book

Submit a brief description of the document, its purpose, and the intended recipient by email or through the contact form. An appointment is confirmed in writing.

02

Prepare

A list of required items is provided before the appointment: original documents, government identification, and any specific wording requested by the receiving authority.

03

Sign

Execution is conducted in person at the firm's office. Most appointments are completed in fifteen to thirty minutes; complex affidavits and multi-party signings are accommodated as required.

04

Authenticate

Where a document requires further authentication for use abroad — including Global Affairs Canada authentication or consular legalization — the firm coordinates the subsequent steps on the client's behalf.
